Start with a decision, not a document
A useful note should lead to a decision or a next action. Before adding headings, define what you should know or do after completing the note.
For a weekly review, that outcome might be choosing three priorities. For a meeting brief, it might be recording decisions and assigning owners.
- Name the outcome in the title
- Keep the first screen scannable
- Put repeating fields in the same order
Use a stable visual hierarchy
Apple Notes works best when a template has one title, a short context block, and a small number of repeated sections. Tables are useful for compact comparisons; checklists are better for actions.
Avoid turning every sentence into a heading. A calm hierarchy makes duplication faster and reduces the effort needed to resume a note later.
Separate reference from action
Keep facts, links, and background information in a reference section. Put commitments in a dedicated next-actions section with an owner or date.
This prevents a note from becoming a long archive where important follow-ups disappear between observations.
Review the finished note on iPhone
A template that looks tidy on a large screen can become difficult to scan on an iPhone. Check line length, table width, and whether the most important section appears before the first long scroll.
